Why Calgary Offices Are Moving Right Now
Most relocations we quote start with a lease decision somebody else made. A landlord repositions a tower. A firm cuts two floors and keeps one. A company outgrows a Beltline suite and goes hunting for parking in Quarry Park. The City of Calgary reports its Downtown Office Conversion Program is supporting 21 projects that will turn 2.68 million square feet of office space into 2,667 homes, a hotel and a hostel. Every square foot of that had a tenant once.

Build the Timeline Backwards From Handover Day
Pick the handover date first, meaning the day you hand the old keys back or the day the new floor is ready, whichever is harder to change. Twelve weeks covers the two longest lead items, the telecom circuit and the approvals at both buildings. Six weeks is tight. Three weeks means the buildings and the telecom provider set your date, not you.
Weeks 12 to 10. Name one move lead with authority to decide. Get a measured floor plan. Order the circuits. Book the movers, because month end fills first.
Weeks 9 to 7. Walk both buildings with your mover. Confirm dock access, elevator rules, insurance wording and after hours windows. Decide what moves, what is sold and what is recycled.
Weeks 6 to 4. Lock the seating plan. Number every room and desk position. Tell staff the date and what each person owns. Book the IT cutover.
Weeks 3 to 1. Order cartons and labels. Purge files. Confirm both elevator bookings. Notify clients and suppliers. Update the licence and the listings.
Move window. Network first, furniture second, personal effects last. Test before anyone shows up to work.

IT and the Server Room Set the Critical Path
Furniture can be late. The network cannot. The item that decides go or no go is whether the circuit is live at the new address, and you cannot compress that by hiring more people. Order it the day you sign and treat the install date as fixed. If the provider has to pull fibre through the building, that is a second booking with the landlord, not a phone call on the day.
After that it is a sequence. Take a full backup and prove it restores before a cable comes out. Photograph the back of the rack and both sides of the patch panel so the rebuild is a matching exercise, not a memory test. Label every cable at both ends with its port. The Floor Plan Is Your Labelling System
Here is the change that saves the most hours. Stop labelling boxes with what is inside them. Label them with where they go.
Take the new floor plan and number every room, pod and desk position. Room 1, Room 2, Pod A1 through A8. Print it big, tape a copy at the freight elevator lobby and one at every doorway, then mark every carton, chair and monitor with that number on two sides.
Crews do not know your org chart. They know numbers. A carton marked Pod C4 lands at Pod C4 whether the person who owns it has started or not. A carton marked Accounting gets four opinions from a crew of four. Colour code by department on top of the numbers, keep a numbered list of anything carrying an asset tag, and put a bright sticker on the ten cartons that get unpacked first.
After Hours, Weekends and Calgary's Noise Rules
Most offices move Friday evening through Sunday, because the building is empty and the elevators are free. Under the City of Calgary's rules for noise in non-residential developments, day time runs 7 a.m. to 10 p.m. Monday to Saturday and 9 a.m. to 10 p.m. Sundays and holidays. Downtown, continuous sound is held to 75 decibels in the day time and 60 decibels at night time.
Outside those hours you are under night time rules. A City noise exemption permit covers 10 p.m. to 7 a.m. on weekdays and 10 p.m. to 9 a.m. on Sundays and holidays under Bylaw 32M2023. You apply at least seven days ahead and no more than thirty, and a permit runs fourteen days maximum. That seven day floor is why we ask about overnight work at the walkthrough. Most office moves never need one. Ask anyway if your dock backs onto housing in the Beltline, Inglewood or Bridgeland.
Booking the Building, the Dock and the Freight Elevator
Two buildings, two sets of rules, two bookings. Most delays trace back to a tenant who booked the new building and assumed the old one would be simple. What property managers ask for is consistent. A date and a time window. The mover's certificate of insurance, often naming the landlord as additional insured. Confirmation the freight elevator is reserved and padded. Names for security passes. Sometimes a damage deposit, sometimes a request for after hours HVAC, because a downtown tower does not run air handling all weekend and a rack room heats up fast. Booking, insurance wording and deposits read much the same in commercial towers as residential ones, which we covered on our page about Calgary building move-in rules.
Measure the freight elevator, not the passenger cab. Depth, width and door opening, against your longest boardroom table. Check dock height too, since a trailer at dock height and a straight truck at street height are two different loading plans. Telling Your Staff, Your Clients and the City
Move comms fail two ways. Either nobody hears anything until the week before, or everyone gets a forty point email nobody reads. Short and repeated works. One note at twelve weeks with the date and the reason. One at six weeks with the seating plan. One at two weeks with labelling instructions. One the day before with the address, parking, door access and the move lead's mobile number. Staff pack their own desk, IT handles anything on the network, movers handle the rest.
Outside notifications matter as much. The City treats a move to a new location as a new business licence application with its own approvals and inspections, and every space carries its own approved use, so start early. The City's page on changes to your business separates relocation from a simple mailing address change. Then work the list: Google Business Profile, website footer, invoice templates, courier accounts, insurers and signage. One more catches people. Since November 1, 2016, Calgary businesses have had to separate and recycle paper, cardboard, glass, metal cans and plastics, plus scrap metal and clear plastic film, under the City's recycling bylaw for commercial waste. An office move makes a mountain of cardboard and a pile of dead furniture. Decide where it goes first.

What Downtime Actually Costs
Nobody budgets the hours the office is not working, and it is usually the biggest number in the project. Take your loaded hourly payroll cost, meaning wages plus benefits and employer contributions. Multiply by the people who cannot work while the network is down. Multiply by the hours you expect to be dark. That is the floor. If you bill by the hour, add the billable hours nobody records.
